In 2025, we delivered meaningful progress across the Pavillio platform. We focused on cutting manual work, improving visibility, and bringing more of your daily operations into one connected system.
During our recent Pavillio Product Pulse webinar, we walked through the biggest releases from the past year. Each update addresses real operational challenges, from scheduling and authorizations to billing and payroll. The goal stayed consistent: help you move faster, stay compliant, and spend less time managing work outside the platform.
Here’s a recap of the key launches and enhancements you may have missed or wanted to revisit, all designed to support how your agency runs today.
Scheduler
In the first half of the year, we introduced Scheduler, a simple, flexible tool that helps you create, manage, and edit schedules for clients and employees. It’s designed to save time, give you a clear view of schedules, and make life easier for caregivers and administrators alike.
With Scheduler, agencies can:
- Build recurring schedules based on visit type, location, or shared care
- Use interactive calendar views with better reporting and visibility
- Create schedules that reflect caregiver availability and preferences, with mobile access built in
The result is simpler coordination and more compliant schedules. Throughout the year, we continued to add enhancements to this functionality, including the introduction of Solver, which helps fill open shifts faster by taking all client and staff preferences and availability and merging them together to create the best possible schedule for everyone.
Authorization Automation for Minnesota Providers
With new Authorization Automation, service agreements no longer start as paperwork for your agency. Pavillio automatically receives authorizations from Minnesota DHS and prepares them overnight. Key information is already in place when you open the record. You review, approve, and save. This removes repetitive work and helps protect data accuracy.
Private Payment Enhancements
If Private Pay is a focus for your agency, you might be interested in the enhancements we’ve made to support this line of business. Adding varied revenue streams can sometimes be an operational challenge, but new functionality in Pavillio for Private Pay does not add complexity to your process.
These enhancements help you manage billing with less effort and better accuracy, and include:
- The ability to build custom service codes with rates that match how you operate.
- Flexible cost-sharing across multiple payees, with control over how charges are divided.
- Full billing cycle visibility, from visits through payment status.
- Faster collections with secure credit card payment requests and collection.
- Better visibility into spenddown balances.
Private Payment processing with Pavillio has lower fees than traditional processors, with all the compliance and security you need built-in.
Pavillio Payroll
Payroll is now a part of the Pavillio platform. With Pavillio Payroll, you can manage care and payroll side-by-side. Hours flow directly from scheduling and time tracking, so your team avoids duplicate work and last-minute fixes. Payroll runs with fewer errors, less compliance risk, and more confidence for both administrators and caregivers.
- Payroll data connects directly to visits and schedules, eliminating re-entry and manual reconciliation.
- Overtime rules, taxes, and multi-state requirements apply automatically to support compliance.
- Caregivers can view hours, pay stubs, tax forms, and PTO in the Pavillio mobile app.

Many of this year’s enhancements came directly from customer feedback. You told us where workarounds slowed you down, and we focused on fixing those gaps.
Customer-requested enhancements include:
- Manual Entry for Sessions, for an easier way to capture missed visits. Now you can record missed group visits in the mobile app, complete required questionnaires, and reduce reliance on paper timesheets.
- Custom Field Dropdowns make it easier for you to collect more consistent data. Configurable dropdown options capture clean, standardized information every time.
- Overrides can now be turned on or off directly from Failed or Ready cards, without opening client profiles, which means fewer clicks and less digging.
